Every trek, tour and climb we run is private and arranged around your own dates rather than sold as a fixed group departure. That changes how booking works compared to a listing you’d just add to a cart. Here’s the actual sequence, step by step.

Step one: you ask
A rough route and rough date is enough to start the conversation, nothing more formal is needed, and this step costs you nothing. Whether you already know you want the Everest Base Camp Trek or you’re still deciding between routes, reach out and tell us what you’re thinking.
Step two: you get it in writing
We send a day-by-day itinerary, a full cost breakdown, inclusions, exclusions, and an honest picture of the fitness and altitude involved for your specific route. This also costs nothing, and it’s the point where you can ask us to adjust the plan, the pace, or the accommodation tier before anything is locked in.
Step three: you reserve
Once you’re happy with the plan and we’ve confirmed a licensed guide is available for your dates, you reserve with either a deposit or payment in full. This is the first point any money changes hands. Our payment and deposits page covers how that works, and our cancellation policy is worth reading at this stage too, not after you’ve paid.
Step four: your trip page opens
You get documents, a permit checklist, a packing list, your confirmed guide’s name and licence number, and a direct line to them, all in one place. The balance is due before departure, not on arrival. If anything about your plans changes between booking and departure, this is also where you’ll coordinate that with our team directly rather than through a call centre.
Why confirmation isn’t instant
Because every trip is private, we check guide and permit availability manually before confirming, usually within 24 hours. You’ll hear from a person, not an automated response, which is slower than an instant booking widget but means the guide assigned to you is genuinely available for your dates rather than double-booked.
What to check before you commit
Our government registration, ISO certificate and TAAN membership are all published on our licences and registration page, and our group pricing is shown in full on every trip page rather than negotiated case by case.
